Job Description

The Opportunity

As the Executive Assistant, you will provide high-level executive and administrative support to the Vinnies Housing Leadership Team, working closely with the Housing CEO/Executive Officer as a trusted partner to the Executive Office.

You will play a key role in supporting strategic priorities, governance activities, and day-to-day executive operations by anticipating needs, maintaining momentum on key initiatives, and ensuring the smooth flow of information and decision-making.

In this role, you will coordinate executive calendars and meetings, prepare high-quality briefings, reports, and Board materials, and maintain accurate records, action registers, and governance documentation. You will also support cross-organisational collaboration by working closely with Housing divisions and broader Society stakeholders, coordinating meetings, events, and executive engagements.

Using digital tools such as MS365 and SharePoint, you will help streamline executive processes, improve document control, and drive continuous improvement. With a high level of discretion and sound judgement, you will handle confidential information and represent the Executive Office in communications and follow-up where appropriate.

This is a Permanent, Full-Time position (38 hours per week) role based in South Brisbane.

Desired Skills and Experience

To be successful in the role, you will meet the following criteria:

Essential

  • Minimum 5 years’ experience supporting senior executives, ideally in a complex or multi-site environment.
  • Exceptional written and verbal communication skills with high attention to detail.
  • Strong digital capability across modern office technologies and collaboration platforms.
  • Strong judgement, anticipatory thinking, and reliable problem-solving.
  • High standards of confidentiality, discretion, and professional conduct.
  • Organised, disciplined, and able to manage competing deadlines.
  • Strong relationship-building skills and stakeholder professionalism.
  • Alignment with the mission and values of the St Vincent de Paul Society Queensland.

Desirable

  • Experience in governance coordination or compliance support.
  • Experience with digital workflow tools or process improvement.
  • Experience supporting change, transformation, or project-based work.
